Every hotel group I work with has the same invisible problem: a guest database full of fragmented, duplicated, and suspended profiles that no one has time to clean.

It happens gradually. A guest books through an OTA under a slightly different name. A reservation agent creates a new profile instead of locating the existing one. A system migration leaves behind suspended records. Over months and years, what should be a single, reliable guest history becomes scattered across three or four separate entries.

The database is not empty. It is just not accurate.

What the Automation Actually Does

This workflow automation scans the PMS guest database and identifies duplicate or suspended profiles using configurable matching rules: name similarity, email address, and booking history patterns. When a valid match is confirmed, the profiles are merged automatically, consolidating stay history and guest data into a single, clean record. Lower-confidence cases are routed for human review rather than merged automatically, giving teams full control over edge cases.

The result is a guest database that reflects reality: one guest, one profile, one complete history.

The process runs on a scheduled basis and produces an audit trail of matched, merged, and excluded records, so operations teams always know what has been actioned and why.

Profile quality is not a data management exercise. It has direct operational consequences.

When a returning guest has three profiles in the PMS, none of them carries the full picture. Loyalty history is fragmented. Reporting becomes unreliable because the same guest appears as multiple different visitors. And front desk teams, working from incomplete information, cannot deliver the level of recognition that builds long-term loyalty.

The VIP Connection

Fragmented guest data is particularly damaging in one specific scenario: VIP recognition.

When a high-value guest arrives, the margin for error is zero. Teams need accurate, consolidated information in advance. If that guest's profile is split across two records in the PMS, the VIP code may be missing from the active reservation. Preferences noted during a previous stay may not be visible. The preparation that should happen before arrival either does not happen, or happens too late.
